Job Description

About the role  

This role will be an Executive Assistant to support the General Manager, Sustainability and Infrastructure, and the broader team. An ongoing part-time role (0.6 FTE) it is responsible for delivering high-quality executive and administrative support, ensuring the smooth operation of day-to-day activities and contributing to the achievement of team objectives. The successful candidate will demonstrate professionalism, discretion, and strong organisational skills, while fostering effective communication and collaboration across internal and external stakeholders.

This role works closely with a broad range of stakeholders, with, and external to EGW, proactively providing team support with organisation of meetings/workshops, managing diary requests and preparing and distributing documents, reports, agenda, papers, minutes and other relevant documentation. 

The Executive Assistant will be a proactive self-starter with strong skills in communication, organisation and planning, teamwork and stakeholder relations. The ability to work with limited supervision in a complex, sensitive environment is essential.

Key Responsibilities:

  • Provide high-level executive support to the GM with discretion and confidentiality.
  • Coordinate internal and external meetings, including agendas and documentation.
  • Manage calendars, travel bookings, itineraries, and confidential correspondence.
  • Maintain effective communication with internal and external stakeholders.
  • Support team deliverables through meeting coordination and document management.
  • Assist with project work, initiatives, and continuous improvement activities.
  • Organise conferences, forums, and workshops for the team.
  • Provide general administrative support across the Sustainability & Infrastructure team.
  • Liaise with other departments to gather information and offer support.
  • Share information to support team understanding during change and uncertainty.
  • Perform other duties as required.

* This role has been classified as per our Enterprise Agreement as a Band 2 -3 position, ($64,906.86- $75,637.15 per annum)

* Plus 12% employer superannuation contribution. We reserve the right to remunerate successful candidates within the span of this classification dependant on demonstrated skills, experience and qualifications.

Desired Skills and Experience

KEY SELECTION CRITERIA

  1. Qualifications and/or significant experience in Business Administration, or other relevant qualification.
  2. Strong commitment to upholding confidentiality, discretion and professionalism.
  3. Significant experience working in an office environment with a variety of office technology.
  4. Highly effective time management skills to ensure high quality outcomes and the ability to prioritise.
  5. Excellent interpersonal skills combined with well-developed verbal, written and presentation skills ensuring the ability to work effectively with people at all organisational levels, in and outside of East Gippsland Water.
  6. A positive attitude towards personal development including being united, authentic, innovative and accountable to achieve corporate objectives.
